Who we are
Responser ("we") provides software that captures form leads, scores them, drafts a reply, and can send one recovery message.

The two roles
When a business (the customer) uses Responser, it decides why a lead's information is collected and how long a submitted lead is kept. For that lead data, the customer is the controller and Responser is the processor. A data processing agreement sets those instructions.
For our own accounts, billing, and this website, Responser is the controller.
A person who filled in a customer's form should contact that business to access, correct, or delete their information. We help the customer carry out that request.
Account data
To open and run a workspace we collect:
- The member's name and work email.
- The workspace, its country (United Kingdom or United States), its members, and their roles.
- Sign-in events.
- Billing details, handled by our payment provider once a paid plan starts.
Google user data
If you sign in with Google, Responser accesses only the account data Google shares for that sign-in: your name, your email address, and your profile picture.
We do not access Gmail, Google Drive, Google Calendar, Google Contacts, or any other Google product. We do not use Google Workspace APIs.
We use that name, email address, and profile picture only to identify you, to sign you into the workspace, and to show your name and picture there. We do not use Google user data for any other purpose.
We do not sell Google user data. We do not use it for advertising, including targeted, personalized, retargeted, or interest-based advertising. We do not use it to determine credit-worthiness or for lending. We do not provide it to data brokers or information resellers. We do not use it to create a database. The only record we keep is the account needed to sign you in.
We do not use Google user data to develop, improve, or train non-personalized AI or machine-learning models. We do not use Google Workspace APIs to develop, improve, or train non-personalized AI or machine-learning models. Responser's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We do not transfer or disclose Google user data to third parties except the service provider that completes sign-in, and only so that sign-in works. We do not transfer it for advertising, resale, or training AI or machine-learning models.
Security procedures are in place to protect Google user data. We encrypt it in transit, and access to it is limited to operating the account.
We keep Google user data while the workspace account is open, which is the period needed to provide sign-in. When the workspace is closed, or when you ask us to delete the account, we delete that data. You can also disconnect Responser in your Google Account security settings. To ask for deletion, email hello@responser.com.
If we change how Responser accesses, uses, stores, or shares Google user data, we will update this page and notify workspace members by email or in the product before that change applies.
Lead data
On a customer's site, and only as that customer configures it, we process the fields a person submits, the page and campaign parameters that show where the visit came from, a score and the reasons for it, the reply, and any later written answer.
A partial submission is stored only when the recorded consent allows it. A partial whose consent does not name a follow-up is deleted after 30 days. A recovery message is sent only when the consent text names that follow-up, and only once.
A replay of the visit that produced a lead is kept for 30 days.
The reply is sent as the customer, from the customer's own verified domain. The customer is responsible for it.
Visitors to this website
If you book a demo, we keep the name, work email, company, and message you submit so we can reply. That form is processed as a lead in our own workspace.
We do not sell visitor data, and we do not run a third-party advertising network on this site.
Why we use it
- Account and billing data: to perform the contract with the customer.
- Lead data: on the customer's instructions, as the data processing agreement describes.
- A partial or a recovery message: only with the consent the customer records.
- Demo requests: to answer the person who wrote to us.
- Security logs: to keep the service reliable.
Where it is kept
Leads for a United Kingdom workspace are stored in the European Union. Leads for a United States workspace are stored in the United States.
A workspace member's account, including a Google sign-in, is the customer's staff record, not the lead.
Who else handles it
Service providers under contract run sign-in, hosting, storage, and email for us. They handle personal data only on our instructions, and only to provide the service. We do not sell personal data.
Google account data is shared only with the provider that completes sign-in, and only for that purpose.
How long we keep it
- A submitted lead is kept for the workspace's retention period. The default is 12 months, and the workspace can change it.
- A replay is kept for 30 days.
- A partial without consent for a follow-up is deleted after 30 days.
- Account data is kept while the workspace is open, then deleted or returned as the contract requires.
- Demo requests are kept long enough to answer and to keep a record of the conversation.
Your rights
If you are in the EEA, the United Kingdom, or a place with similar rules, you can ask to access, correct, delete, restrict, or export personal data we control, and you can object to processing based on legitimate interests. You can also complain to your local data protection authority.
For a lead on a customer's form, contact that customer. If you cannot reach them, write to hello@responser.com and we will pass the request on.
Children
Responser is for businesses. We do not aim the service at children, and we do not knowingly create an account for a child.
Changes
We post changes on this page and update the date at the top. If a change affects how we use Google user data, or otherwise materially affects a customer, we also give notice by email or in the product before it applies.
